LEGAL
Terms of Service
Effective October 5, 2026
These terms are a contract between Rentametrix Inc. ("Rentametrix", "we", "us") and the organization or person using the service ("you"). They cover the marketing site at www.rentametrix.ai, the application at app.rentametrix.ai, the documentation site, the Rentametrix API and the AI tool connections (MCP) that run on it, together "the service".
If you have a signed order form or master agreement with Rentametrix, that document controls where it conflicts with these terms.
1. Who may use the service
The service is for student-housing operators, owners and the people who work for them. Accounts are invite-only. By using the service you confirm that you are at least 18, that you are acting for a business, and that you have the authority to accept these terms for it.
2. Accounts, roles and keys
- Each person gets their own sign-in. Do not share logins. You are responsible for everything done under your sign-ins and under any AI key issued to your account.
- Account administrators decide who in your organization can see which property and with which role. Rentametrix grants the resident read, data reviewer and staff roles only on request, with a reason, and records every grant.
- An AI key reaches only the tools and properties in its grants, and no key can write. Keep keys in a secret store. If a key leaks, revoke it at once and tell support.
- You must not try to reach data outside your grants, probe or load-test the service, or reverse engineer it.
3. Your data
Data you connect or upload, including property management system records, lease trackers, comp sheets and resident records, is yours ("customer data"). You give Rentametrix a licence to host, process, analyze and display it to provide the service, to keep it secure and to improve the service in ways that do not disclose your data to anyone else.
You confirm that you have the right to share customer data with us, including any resident personal data, and that you will use what the service returns in line with the law, including fair housing and privacy law. How we handle resident data is set out in the privacy policy.
When your account closes we keep customer data for 90 days so it can be exported or restored, then delete it. Ask support for an earlier deletion or an export.
4. Market data
Market rates, specials, availability and estimates come from public web pages, listing sites and social posts that we read on a schedule. Each value carries the date it was read. Market data is provided as observed; we do not promise that it is complete, current or free of errors, and you must not resell it or republish it outside your organization.
5. AI answers and reports
Chat answers, reports and tool results are generated from your data and market data by software, including large language models. They can be wrong, incomplete or out of date. They are information, not legal, financial or investment advice. Check the as-of date and the evidence a result carries before you act on it, and keep a person responsible for every pricing or leasing decision.
6. Acceptable use
You must not:
- use the service to discriminate against or screen residents or applicants in a way the law forbids;
- use the service to set prices in coordination with other operators, or share non-public pricing data from the service with a competitor;
- scrape, crawl or bulk-download the service, or build a competing product from it;
- upload malware, or anything you do not have the right to share;
- give access to anyone outside your organization without our written agreement.
7. Fees
Paid plans are priced in your order form or subscription. Fees are billed in advance, in US dollars, and are not refundable except where the order form says so. If a payment is late we may limit the account to read-only access until it is settled. Taxes are your responsibility. We may change prices at the next renewal with at least 30 days' notice.
8. Confidential information
Each side keeps the other's non-public information confidential and uses it only for the relationship. This includes customer data on our side and the product, pricing, roadmap and any investor or partner packet on your side. Material we share under a separate non-disclosure agreement stays under that agreement. The duty lasts for three years after the relationship ends, and for customer data and trade secrets, for as long as they stay confidential.
9. Ownership
Rentametrix owns the service, its software, models, tool catalog, documentation and the aggregate, de-identified metrics we derive from running it. You own your customer data and the reports you generate from it. Feedback you give us may be used without obligation.
10. Third-party services
The service connects to systems you choose, such as Entrata, AppFolio, Google Sheets and the AI client you run. Those systems have their own terms. We are not responsible for them, for outages they cause, or for changes they make to their APIs. Trademarks of third parties belong to their owners.
11. Service changes and availability
We change the service often and may add, alter or retire features. Tool contracts are versioned; a retired version names its replacement. We aim to keep the service available but do not promise uninterrupted access. Scheduled maintenance and incident notes go to account administrators by email.
12. Term and termination
These terms apply from your first use until your account closes. You may close your account at any time by writing to support. We may suspend or close an account that breaks these terms, puts other customers or residents at risk, or has unpaid fees after notice. Sections 3, 5, 8, 9, 13, 14 and 15 survive termination.
13. Disclaimer
The service is provided as is and as available. To the extent the law allows, Rentametrix disclaims all warranties, express or implied, including fitness for a particular purpose, non-infringement and the accuracy of any data, estimate or AI output.
14. Limitation of liability
To the extent the law allows, neither side is liable to the other for indirect, special, incidental or consequential loss, or for lost revenue, profit or data. Rentametrix's total liability under these terms is limited to the fees you paid us in the twelve months before the claim. These limits do not apply to a breach of section 8, to a side's indemnity, or to loss that the law does not let us limit.
15. Indemnity
You will defend Rentametrix against claims that arise from customer data you supplied, from your use of the service in breach of these terms, or from your pricing and leasing decisions. Rentametrix will defend you against claims that the service, used as intended, infringes a third party's intellectual property. Each side will tell the other promptly about a claim and cooperate in the defence.
16. Governing law
These terms are governed by the laws of the United States and of the state in which Rentametrix Inc. is incorporated, without regard to conflict of law rules. Disputes go to the state or federal courts of that state, and each side consents to their jurisdiction. Before filing, the sides will try for 30 days to resolve the dispute by discussion between senior people.
17. Changes to these terms
When we change these terms we update the effective date at the top of this page and, for material changes, email account administrators at least 30 days before they take effect. Continued use after the effective date means you accept the updated terms.
